Purpose of the Job

Provide professional administrative support to the management and organize daily office activities and general functions to ensure highest performance standards and safe work environment are met in line with Policies and Procedures of SAS.

Key Responsibilities

1. Arrange meeting rooms for all SAS departments and book available training room for interviews of SAS HR department through proper coordination, attend the meetings whenever required and take minutes of the meetings to ensure accurate report to the management.
    2. Collect, compile and analyze information from multiple sources to prepare various reports and agenda and ensure that highly confidential information is handled with utmost care.
      3. Schedule and coordinate the appointments for GM by accurate collection of the information to ensure that all the appointments are adhered to and timely coordination with the related parties.
        4. Monitor all internal and external documents for GMs signature, review all the incoming memos, Letters from Ministry, submissions such as ISRs/LPOs and reports to ensure their significance, proof-read and distribution.
          5. Attend incoming calls, screen properly and take necessary notes and details to make sure the importance of the call to be given access to GM, or intra department managers, address any enquiries, schedule appointments/meetings.
            6. Meet and greet visitors at all levels of seniority and specifically GMs guests in the office through proactive and inter personal approach to make sure all the guest/visitor requirements are met with utmost professional environment.

              7. Monitor the stationary stock pantry stock and cleanliness or any office related maintenance issue such as AC Electricity etc. to ensure that office have adequate level of supplies and well equipped all the time.
              8. Place and coordinate any management IT related requests such PC Laptop Printer etc. through ISR Internal Store Request to ensure proper and timely supply of the resources.
              9. Coordinate with all SAS departments and Air Arabia for checking the training schedule through LMS system and no. of attendees for the training to maintain the minimum staff requirement for each training session. 
              10. Roll out general SAS staff communication such as Staff Excellence Awards printing certificatesgeneral memos to make sure aligned with GMs approval.  
              11. Provide assistance to GM with certain specific process such as filing of bank statements GMs travel related document such as visa etc. and for Airport Pass issue for SAS to ensure proper adherence to the process flow.
              12. Adhere to the company Compliance Policy Security Policy and Health and Safety Policy.

              Qualifications

              High School or Diploma in Business Administration or equivalent experience

              Experience

              3 Years of experience working with Senior Management, English fluent- written and spoken, Arabic is an advantage
