Job Purpose
Providing administrative support services and coordination support to the Line Maintenance teams, and training activities focusing mainly on human resources matters, the application and oversight of function-related ECAA licenses and their expirations, as well as the upkeep of relevant files and records.
Key Result Responsibilities
- Plan and coordinate rosters and manpower allocation across Line Maintenance shifts, ensuring efficient and cost-effective deployment of resources in compliance with ECAA regulations and Company policies.
- Coordinate the timely issuance, renewal, and maintenance of security passes required for Line Maintenance stations and outstations in accordance with ECAA-approved procedures and protocols.
- Ensure the availability of manpower, equipment, materials, and other resources required to support efficient and uninterrupted Line Maintenance operations.
- Prepare, update, and distribute the Fleet Deferred Defects Daily Status Report to Maintenance, Commercial, Quality, and Operations teams, ensuring accurate and timely communication.
- Organize departmental and team meetings as required, including preparing agendas, coordinating communications, recording minutes, and distributing meeting outcomes and action items to relevant stakeholders.
- Coordinate monthly with the Head of Engineering and Maintenance (HO(E&M)) and HR Department to finalize employee timesheets and calculate overtime based on attendance control system records, in accordance with RBG policies and procedures.
- Review and provide administrative clearance for service provider invoices prior to HO(E&M) approval, ensuring supporting documentation and service records are complete and accurate.
- Monitor technical log pages and coordinate with vendors and the Maintenance Control Center (MCC) to verify job orders, completed work, and related maintenance activities.
- Liaise with Air Arabia outstation Finance teams regarding service provider invoices, payments, supporting documents, and other financial matters related to Line Maintenance activities.
Key Result Responsibilities - Continued
- Monitor SGHA agreements and contracts and coordinate with Legal and Contracts Departments regarding the preparation, renewal, and implementation of new and existing SGHAs in accordance with approved standards.
- Maintain effective coordination and communication with Maintenance, Operations, Logistics, Engineering, HR, Finance, Quality, and other relevant departments to support smooth Line Maintenance operations.
- Develop, maintain, and monitor Technical Training Plans for Line Maintenance personnel, including in-house training, external training, and On-the-Job Training (OJT).
- Maintain accurate and up-to-date training records, ensuring that employee training requirements, qualifications, certifications, and completion status are properly documented and monitored.
- Coordinate with managers and approved training providers to discuss training requirements, obtain necessary approvals, establish training schedules, and communicate plans to relevant departments and personnel.
- Monitor trainee progress and training completion, provide feedback to relevant managers, and recommend corrective or developmental actions where required.
- Develop and manage aviation training schedules and programs in coordination with Line Maintenance requirements, operational needs, and applicable regulatory requirements.
- Coordinate with approved training providers and relevant regulatory bodies to ensure that training programs comply with applicable ECAA requirements, Company standards, and industry regulations.
- Monitor the effectiveness of technical and aviation training programs and provide recommendations for improvement to the HO(E&M) and Quality Department.
- Ensure compliance with the Company Safety Management System (SMS) and Just Culture principles, and report hazards, incidents, unsafe conditions, and safety concerns through IQSMS in accordance with Company procedures.
- Coordinate administrative and training activities across Line Maintenance teams and outstations, ensuring consistent implementation of Company procedures and effective communication.
- Liaise with HR, Finance, training providers, vendors, regulatory authorities, and other internal and external stakeholders within the scope of assigned responsibilities.
- Prepare and submit recommendations to the HO(E&M) regarding manpower planning, training requirements, administrative processes, resource allocation, and operational improvements.
Qualifications (Academic, training, languages)
- Bachelor’s degree in Management/Administration or equivalent is preferred.
- Proficient in Microsoft Office, Internet and Web Search.
- Fluent in English Language.
Work Experience
- 2+ years of experience in an administrative role dealing with staff matters and contracts in any industry.
- An aviation background is preferred and technical knowledge would be an advantage; low cost airline experience is a plus.
- Effective team player with experience in an administrative/coordinator role supporting teams.
- Very good exposure and reasonable experience in handling rosters and shift-pattern manpower allocation.
- Proven skills in working with data and resources in a cost-effective manner.
- Applies judgment in assessing matters combined with good problem solving and decision making skills.
- Dependable, self-initiative, takes ownership, and displays energy and enthusiasm.
- Multi-task oriented with high attention to both results and details.
- Capable of using technical skills and interpersonal relations to support company’s objectives.
- Capable of working hard and under pressure.
